Statuses finance can audit
Draft, filed, in review, approved, partially paid, rejected, and appealed should be explicit. Partial approvals are common; your model should not assume binary outcomes.
Cadence and ownership
Assign an owner and a weekly review. Unclaimed losses are often a process problem, not a policy problem. Tie recovered amounts back to SKU profit so leadership sees impact.
